Record the exact address or intersection, parcel when relevant, asset type, photographs, date observed, requested action, and any account or prior-case number. Ask the first desk to confirm ownership or transfer the request in writing if responsibility lies elsewhere.
Retain every case number and handoff. Do not merge CDD assessments with association dues or interpret a County building permit as covenant approval. A successful record ends with the correct entity, named asset, disposition, and any next step—not merely proof that someone received an email.
